Time Frame

The following time frames are anticipated, assuming 400 surveyed and 6 individual full text reports plus 10 site visits.

  1. Pre-Survey Phase - Minimum Elapsed Time Period 6 Weeks

    Assuming the project team is in place, a minimum of six (6) weeks is required to plan and communicate the survey details and install and test the data collection module.

  • Initial project briefing
  • Developing management briefing documents
  • Allocating project responsibilities
  • Outlining feedback plan
  • Collection of data for demographic profiles
  • Development of additional questions and items
Week 2
  • Circulation of additional questions and items for feedback
  • First draft of demographic profile and circulation for feedback
  • Development of employee communication
  • Refining feedback plan
Week 3
  • Sign-off of management communication and issue
  • Commence management briefings
  • 2nd draft of demographic profile
  • Sign-off of feedback locations and content
  • Sign-off of additional questions/items
Week 4
  • Sign-off and issue first employee communications
  • Sign-off demographic profile
  • Continue management briefings
Week 5
  • Configure, install and test software
  • Complete management briefings
Week 6
  • Final adjustments
  • Second employee communication
  • Bring website, intranet live

 

  1. Data Collection Phase - Elapsed Time 2 Weeks
Phase 2 Weeks 7 & 8
  • Survey runs live for two (2) week period with daily monitoring and reminders issued as necessary

     

  1. Analysis, Report Generation and Feedback - Elapsed Time 8 weeks
Phase 3 Weeks 9 & 10
  • Complete total organisational analysis and regional/business unit comparisons
Week 11
  • Senior management and project team feedback

Phase 4 Weeks 12 & 13
  • Half day feedback sessions on site
Weeks 14 & 15
  • Collection of feedback from employee sessions
Week 16
  • Presentation of final recommendations

 

N.B. It is normally assumed that an organizational survey must take place with a ‘big bang' approach. It is equally legitimate to conduct an employee survey on a rolling basis. By this we mean planning a phased rollout by unit or region. This approach provides more control, places less impact on resources and the approach allows for continuous learning and improvement of the process.


The commitment to survey in 6 - 9 months time to evaluate progress is important in adding credibility to the survey process and the project team.
