Junior Administrator – Specified Purpose Contract

Graphite HRM now has a vacancy for a Junior Administrator - Contract Position, to support its Irish operations. Job Purpose
To support the delivery of a comprehensive HR compliance service through general administration support.
Main Duties
- Responsibility for the administration of all roadshows, seminars and public workshops
- Manage bookings and workshops queries
- Mailshots for workshop promotion: generate mailing lists from database, oversee the administration and distribution of mail-shots by fax , post or email
- Produce materials for all roadshows, seminars and public workshops and in-house workshops as required.
- Prepare evaluation reports for all roadshows, seminars and public workshops and in-house workshops as required.
- Organise hotel bookings and travel arrangements for all roadshows, seminars and public workshops
- Receive and follow up queries from the web and through email
- Administer the production and distribution of all HR Compliance Products
- Distribution of the PPP Manual to clients / potential clients
- Administer the production and distribution of the client handbook
- Co-ordinate periodic distribution process of our update materials to client ensuring it is out to clients on time. Answer queries that may result from them
- Assist clients with queries involving web access
- Administrative support for the HR Compliance Department
- Administrative support for the CEO
- Answer phone calls and queries
PERSON SPECIFICATION
Qualifications:
- ECDL or equivalent
- Leaving Certificate or equivalent
Experience:
- Experience of working in an administrative role
Qualifications:
- Demonstrated use of IT applications (Word, Excel, PowerPoint and Outlook)
- Exceptional communication skills (business English – verbal and written)
- Attention to detail: A proven ability to maintain a high standard of quality and accuracy
- Strong customer service skills and customer service orientation
- Time Management: Managing time and workload priorities with a sense of urgency
- Good typing skills
